Executive Assistant

About Us:

Cohen & Master Tree And Shrub Services Ltd. is a leader in the urban forestry sector throughout the GTA, dedicated to sustainability and innovation. We specialize in urban green space management and work closely with municipalities, private organizations, and community stakeholders to enact enhance urban forestry practices.

As we continue to grow, we are seeking a proactive and detail-oriented Executive Assistant to support our leadership team. This role is ideal for a recent graduate, preferably with a background in forestry, environmental science, or a related field, who is eager to gain hands-on experience in a fast-paced office environment.

Job Responsibilities:

  • Administrative Support: Creating and quantifying consulting quotes
  • Communication & Correspondence: Draft emails, reports, and presentations; liaise with internal teams, clients, and stakeholders.
  • Project Coordination: Assist in organizing and tracking project deliverables, including arborist reports, tree risks assessments, and regulatory submissions.
  • Document Management: Maintain and organize records, contracts, and regulatory documents.
  • Meeting Preparation: Prepare agendas, take meeting minutes, and follow up on action items.
  • Event & Logistics Support: Help coordinate internal and external meetings, training sessions, and company events.
  • Invoice Clients for Wok Completed: Ensure invoices are sent out in a timely manner, and follow ups are completed as needed.
  • Answer Incoming Calls And Provide Customer Service: Answer and respond to any calls related to consulting services.
  • Become an Expert: Develop a deep understanding of urban tree care and the specialized services Cohen & Master offers.

Qualifications & Skills:

  • Recent graduate with a degree in Forestry, Environmental Science, Business Administration, or a related field.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and familiarity with project management tools is an asset.
  • A proactive mindset with the ability to multitask and problem-solve.
  • Passion for forestry, sustainability, or environmental initiatives is a plus.

Office Generalist

What You’ll Be Doing:

As an Office Generalist, you will support various office operations under the guidance of the Office Operations Manager. Your key responsibilities will include:

  • Scheduling & Client Communication: Coordinate and confirm weekly service visits with clients, ensuring smooth communication and timely follow-ups.
  • Client File Management: Keep client files organized, up-to-date, and easily accessible.
  • Collaboration: Work closely with Account Coordinators and Department Heads to ensure efficient operations and high customer satisfaction.
  • Accounts Receivables: Assist in following up on outstanding invoices in collaboration with the Accounts Receivables team.
  • Administrative Support: Provide clerical support to the office team as required, assisting with a variety of tasks to ensure smooth daily operations.

What We’re Looking For:

  • Organizational Proficiency: Ability to manage multiple tasks, prioritize effectively, and stay organized in a fast-paced environment.

Contract Requirements:

  • Previous experience in administrative or office roles is a plus.
  • Must be able to legally work in Canada or have an open work permit.

Contract Duration: May 2025 – October 2025

  • Start Date: May 1st, 2025
  • Hours: Monday – Friday 8:00am – 3:00pm
  • Compensation: $21.00/hr
